Position Summary

Reporting to the Assistant Director for Student Organizations & Programming, the Student Club and Organizations Specialist will oversee the budgets and operations of student clubs and organizations in the Office for Student Involvement. The Specialist will work closely with the Assistant Director for Student Organizations and Programming to successfully execute events and programs throughout the year.

 

This position requires evening and weekend hours.

 

Essential Functions         

  • Supports administrative duties associated with advising student clubs and organizations, including budget management for student activities, event registration, and required legal documents.
  • Maintains student activities budget, tracks expenses, facilitates purchases, and monitors student club budgets.
  • Approves and processes student club and organization event requests.
  • Collects data for program evaluations and prepares data for statistical, financial, participant, and program activity reports.
  • Holds regularly scheduled “Drop-In Hours” for clubs and organizations to establish relationships with new club leaders and advise club leaders on event planning, payment procedures, and upcoming events.
  • Advises the United Student Government Budget Committee.
  • Chaperones and supervises weekly late-night and weekend programming.
  • Creates promotional materials on the student engagement platform, social media outlets, and other media to maintain consistent communication with club leaders and the general student body.

Management Responsibilities   

Guides work of other employees who perform essentially the same work and/or student workers. Organizes, sets priorities, schedules and reviews work, but is generally not responsible for final decisions in hiring, performance management or compensation.

 

Additional Functions       

  • Contributes to the coordination and staffing of traditional University events, including but not limited to New Student Orientation, Homecoming, Senior Week, Family Weekend and Spring Weekend, Commencement, Admissions Open Houses and other Office for Student Involvement events.

 

Required Qualifications: Education and Experience         

  • Bachelor’s Degree
  • Minimum of 2 years combined pre-professional and professional experience in student support or related roles.

 

Required Qualifications: Knowledge and Skills       

  • Proficiency in Google Suite and Microsoft Office Suite
  • Exceptional interpersonal communication skills and organizational skills.
  • Detail-orientated, self-motivated, and able to work independently and carefully manage multiple responsibilities simultaneously with short deadlines in a high-volume environment.
  • Ability to demonstrate a professional maturity that will foster a professional mentoring and advising relationship with students.
  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.

 

Preferred Qualifications  

  • Experience in the area of event planning and student programming.

 

Minimum Starting Salary: $62,640

 

Maximum Starting Salary: $63,500

 

Note: Salary is commensurate with qualifications, experience, and skills.
