Academic Program Administrator
Job Description
The Johns Hopkins Krieger School of Arts and Sciences (KSAS) seeks an Academic Program Administrator for Academic Operations within the Summer and Intersession Program who will be responsible for the smooth delivery and support of the academic programs managed by the Office of Summer and Intersession Programs. This is a hybrid role in the fall and spring, with full-time onsite responsibilities in the summer, including occasional weekends and evenings.
Specific Duties & Responsibilities
Academic Programs Support (40%)
- Assist with planning academic field trips for Summer at Hopkins Pre-College programs.
- Oversee field trip operations for Summer at Hopkins Pre-College programs.
- Oversee the planning, procurement, storage, distribution, and tracking of laboratory and course supplies for Summer at Hopkins Pre-College programs.
- Reserve and schedule spaces for special academic events, such as guest lectures and sessions, for Summer at Hopkins Pre-College programs.
- Maintain accurate course rosters and manage the daily attendance process for Summer at Hopkins Pre-College programs.
- Assist with troubleshooting facilities issues, including access and AV problems, during the summer sessions.
- Provide operational support for the B’More Program during intersession.
- Provide operational support for additional special programs offered in summer, intersession, or pre-fall.
Academic Programs Administration (40%)
- Maintain accurate program dates, deadlines, and course listings on the Summer at Hopkins website.
- Generate and maintain enrollment data reports for intersession, pre-college, and summer undergraduate course offerings.
- Maintain a master list of all pre-college program and undergraduate course prerequisites.
- Assist with the proofing of undergraduate course offerings and schedules for intersession and summer term.
- Assist with marketing of intersession and summer term undergraduate courses, including special cohort programs such as B’More.
- Assist with production of handbooks and FAQs for Intersession and Pre-College instructional staff onboarding
- Assist the recruiting and hiring process of instructional staff for Summer at Hopkins Pre-College programs.
- Develop and maintain a process for tracking all instructional staff contracts for intersession, pre-college, and summer term in partnership with KSAS Finance and OSIP Leadership.
Student Recruitment and On-Boarding (15%)
- Assist with guiding and supporting pre-college families and visiting undergraduates through the enrollment and onboarding process.
- Assist with monitoring and responding to Summer@Hopkins general email boxes and phone calls.
- Participate in virtual and in-person information sessions, orientation, and programming.
- Other duties as assigned.
Other Duties as Assigned (5%)
- Support tasks outside of the standard role for the advancement of OSIP’s mission.

Technical qualifications or specialized certification:
- Substantial knowledge of Microsoft Office applications.
Physical requirements for the job
- Ability to sit in a normal seated position for extended periods.
- Must be able to lift 25 lbs.
- Must stand for extended periods during in-person workshops and special events.
- Dexterity of hands to operate a computer keyboard, mousepad, and other office machinery.
- Requires a degree of mobility common to working in an office environment; bending, kneeling, or standing during events and presentations may be required.
Minimum Qualifications
- Bachelor's Degree.
- Three years progressively responsible experience in program administration in an academic environment.
- Additional education may substitute for required experience and additional experience may substitute for required education to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Master's Degree.
- Three to five years of related experience.
- Previous experience in higher education.
- Previous operations experience with summer programs.
- Previous experience working with middle and high school-aged students and undergraduates.

Role/Level/Range: ACRP/03/MC
Starting Salary Range: $48,000 - $84,100 Annually ($63,500 targeted; Commensurate with experience)
Employee group: Full Time
Schedule: Monday - Friday 8:30 am - 5:00 pm
Exempt Status: Exempt
