Donation Center Manager

A Precious Child, Inc. is a 501(c)(3) nonprofit organization providing children in need with opportunities and resources to empower them to achieve their full potential. A Precious Child envisions a future where every child grows up to be a secure, self-reliant, contributing member of their community.

In working towards helping A Precious Child meet its overall objective of providing services for children in need throughout Colorado, the Donation Center Manager serves as a key member of the A Precious Child team and is responsible for the proper intake and processing of all in-kind donations, the management of volunteers and management of the Donation Center.

Hours: Full-time, Exempt with some evenings and weekends; Monday through Friday 7:30-4:00pm

Reports To: Director of Donation Center, Warehouse and Facilities

Direct Reports: Donation Center Assistant Managers

Duties and Responsibilities

Supervision and Leadership:

  • Handle conflicts or issues within the team promptly and effectively, ensuring a positive and productive work environment.
  • Maintain open and transparent communication channels with donation center team, ensuring that they are informed about organizational changes, updates and expectations
  • Actively listen to the concerns, ideas, and feedback of direct reports, valuing their input and promoting a culture of inclusivity
  • Demonstrate professionalism, integrity and a strong work ethic, serving as a role model for direct reports and promoting a culture of continuous improvement
  • Uphold ethical leadership standards in all aspects of leadership, ensuring that decisions and actions align with the organization's values and principles
  • Responsible for supervision and training of Donation Center volunteers
  • Responsible for proper management of volunteers of all ages, ability levels, and group sizes to ensure donations are sorted, sized and displayed in an orderly and timely manner
  • Ensures donors are greeted in a positive and timely manner and assisted with unloading their donations, are properly thanked, receive tax receipts and organizational literature as well as offered tours and other ways they can contribute
  • Responsible for all administration work in regard to overseeing direct reports, including, but not limited to, approving PTO requests, one on one check ins, disciplinary actions and documentation if needed, hourly time sheets, scheduling flex time, etc.
  • Responsible for bringing innovative ideas and solutions to leadership and helping implement new processes when necessary
  • Responsible for implementing processes and procedures for Donation Center volunteer management, training and efficiency, as well as the intake of donations and donor relations at the Receiving & Dock area.
  • Responsible for updating processes and procedures as inventory change within the donation center
  • Responsible for maintaining a positive and friendly demeanor even in challenging situations to sustain a welcoming and enjoyable experience
  • Work with and oversee interns, as needed
  • Provide developmental plans for direct reports to continue their growth within the organization and as employees
  • Responsible for employee reviews
  • Provide list of trainings or work to be completed on snow days for donation center team
  • Responsible for building a bench of regular volunteers and ability to assess their skill sets to meet Donation Center needs

Inventory Management:

  • Responsible for working closely with Store Manager to ensure inventory on the Resource Center stays stocked and prioritize processing of items for the Store that are low
  • Responsible for working closely with Programs team to ensure donation drives are focused on the immediate needs of the organization
  • Responsible for supporting Donation Center team with ensuring inventory needs for drive thru events, satellite resource centers requests and bulk distribution requests
  • Responsible for ensuring all donation center team and trained volunteers are accurately tracking incoming and outgoing inventory
  • Responsible for working in excess inventory at a steady pace to store
  • Reviewing inventory needs for upcoming seasonal programs and coordinating with program managers to determine required inventory
  • Monitoring inventory levels and restocking staging areas as needed to meet program demands
  • Ensure inventory sheets have the correct dates
  • Assist with prep work and count of physical end of year and midyear inventory
  • Support existing inventory management practices while spearheading the development and implementation of innovative new processes
  • Support Director of Donation Center, Warehouse and Facilities with inventory tracking and input when needed

Donation Center Team Support

  • Responsible for overseeing Donation Center 1 & Donation Center 2, including proper intake and processing of all in-kind donations.
  • Forecast daily, weekly, monthly needs for volunteer projects to ensure success of donation center team and volunteer groups
  • Responsible for working closely with the Volunteer Center Director to ensure successful volunteer shifts
  • Manage volunteer coordination with Volunteer Center team to meet donation center’s needs year-round
  • Responsible for assisting with fundraising goals through in-kind donor and volunteer focused strategies and campaigns.
  • Responsible for working some evening and weekend after hour volunteer and fundraising events.
  • Work closely with Director of Donation Center, Warehouse and Facilities to assess inventory levels and donation center needs
  • Responsible for building relationships with volunteers to improve volunteer engagement and support
  • Effectively managing competing priorities to devise solution-oriented concepts for achieving success
  • Ensuring donation center staff and volunteers have the appropriate supplies to complete their work
  • Communicate with outside vendors in regards to pickups needed—ie car seat tote replacement, roll off replacement, recycling pick up and book pick up.
  • Delegate tasks to donation center team to ensure top priorities are tackled daily
  • Other duties as assigned

Facility Management:

  • Responsible for reporting broken equipment and facility damage to Director of Donation Center, Warehouse and Facilities
  • Responsible for assisting in the setup of Donation Center 2 during seasonal and non-seasonal times
  • Responsible for snow removal, including utilizing the snowplow and Can-Am. This can include on days A Precious Child has closures or late starts.
  • Snow and Ice Removal PP will be reviewed and signed off by Director
  • Maintains an organized and professional work area.
  • Provides a clean and organized space to make an easy environment for volunteers and staff to work in
  • Ensure weekly and monthly cleaning tasks are being completed thoroughly and properly

Safety Compliance:

  • Responsible for following OSHA safety requirements and that any safety requirements for the warehouse and trailers is documented and reported to Director of Donation Center, Warehouse and Facilities
  • Responsible for ensuring a safe work environment for all staff, volunteers, and donors
  • OSHA trained preferred but not required
  • Required to operate heavy equipment
  • Lift up to 50lbs at a time
  • Valid driver’s license with a clean driving record

Experience and Qualifications:

Education and Experience:

  • Must have a GED or high school diploma
  • Candidates with significant related field experience, showcasing practical knowledge and expertise
  • Service Industry experience: Minimum of two years
  • Inventory experience: Minimum of two years
  • Management experience: Minimum three years managing a department and direct reports

Customer Skills:

  • Ability to manage challenging situations with customers
  • Excellent customer service that is proactive and personalize

Warehouse & Inventory Management:

  • Inventory: Experience with inventory management, inventory management software and proven ability to manage inventory accuracy, including tracking, ordering, and organizing
  • Process Improvements: Experience in implementing process improvements to increase efficiency and familiarity with lean principles and continuous improvement methodologies
  • Safety Compliance: Knowledge of warehouse safety regulations and procedure

Problem-Solving:

  • Issue Resolution: Strong problem-solving skills to handle and resolve issues and questions from both staff, interns or volunteers
  • Prioritize: Ability to prioritize base upon urgency and discover root cause of issues

Relationship Building:

  • The ability to work effectively with donors, volunteers, and staff; displays mature judgment, superior diplomatic skills and highly developed listening
  • Soft skills used to connect with others and form positive relationships

Communication Skills:

  • Internal Communication: Excellent oral communication, presentation, listening, and interpersonal skills with a focus on customer service relations
  • Interdepartmental Communication: Effective communication skills to collaborate with internal teams
  • External Communication: Excellent written and oral communication with donors, partners, and vendors

Technical Proficiency:

  • Microsoft Office Suite: Highly proficient in using Microsoft Office tools
  • Familiarity with Monday.com and Slack (Preferred)

Supervision and Leadership:

  • Supervisory Skills: Experience in training and supervising warehouse staff. Additionally includes interns and volunteers, ensuring an engaging and impactful experience
  • Open to new ideas, feedback, and suggestions from team members to encourage continuous improvement from within the team

  • Time Management: Works well with timelines and deadlines
  • Strategic prioritization: Ability to manage competing demands and handle multiple duties simultaneously
  • Innovative: Formulate contingency plans for unforeseen fluctuations in inventory
  • Self starter: must be able to handle competing demands and priorities

  • Taking ownership of tasks, meeting deadlines, and delivering on commitments demonstrates reliability and accountability
  • Hold direct reports, volunteers, and interns accountability for their actions and inactions

Compensation: $55,000-$65,000/annually based on experience, including a generous benefits package; paid time off, paid holidays, health, dental, and vision insurances, and matching contribution to a 401(k) retirement plan after meeting eligibility requirements.
