Sr Development Coordinator, Bloomberg Center

Job Description

Development and Alumni Relations (DAR) supports Johns Hopkins’ focus on research, teaching, and patient care, and its role as a national and global leader in higher education. We create and foster enduring relationships that result in advocacy and philanthropic support for Johns Hopkins University & Medicine—strengthening the institution through partnerships with donors, alumni, volunteer leaders, faculty, students, staff, and patients.


The Sr. Development Coordinator provides high-level project and administrative support for the Chief Engagement Officer for Johns Hopkins University Bloomberg Center. This includes calendar, and travel and expenses management, along with playing a key role in producing reports, charts, briefings, and internal and external correspondence.


Key responsibilities: 

  • Maintain a conflict-free electronic calendar for the Chief Engagement Officer which may include arranging intricate meetings with Deans, Vice Presidents, Donors, and Prospects.
  • Proactively manage tasks and priorities for the Chief Engagement Officer to properly prepare for upcoming meetings, visits, and events, including making travel arrangements.
  • Produce a variety of reports and presentations using information from multiple sources to address a range of requests with general guidance from the Chief Engagement Officer.
  • Compile and analyze data when needed. Create tables, graphs, PowerPoint presentations, and other materials.
  • Collaborate with the Chief Engagement Officer and the external relations team to prepare briefings for events for the President and Vice President.
  • Track and submit travel receipts associated with the Executive Card to be submitted in Concur and process personal reimbursements for JHU business expenses.
  • Maintain and monitor the team operations budget as well as the Hopkins Bloomberg Center Gift budget.

Correspondence:

  • Draft letters to external constituents, Deans, and Vice Presidents, prepare final edits, and mail or distribute to appropriate individuals, both internally and externally.
  • Prepare Briefings for the President’s Office.
  • Interact and communicate effectively with the senior administrative and academic leadership of the university and their respective staff. Do the same with external partners.

Reporting

  • Build expert knowledge and demonstrate proficiency in the use of the constituent database (JHAS) master software and applications such as JHAS, Galaxy – BI, Excel, Cvent, Paperless Post, and the internet to research and compile data.
  • Pull stewardship reports out of JHAS
  • Create campaigns and sub-campaigns within JHAS
  • Create and manage a large constituent database for the use of Hopkins Bloomberg Center events, programs, etc.

Other:

  • Function as part of the Hopkins Bloomberg Center external engagement strategy team for larger group projects.
  • Staff special events, helping with check-in processes, greeting and escorting VIPs and visitors.
  • Handle sensitive and confidential information with an appropriate level of discretion.
  • Coordinate other office services such as maintaining paper and electronic filing systems, purchasing supplies, and copying and distributing materials.
  • Other duties as assigned.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor's degree
  • Strong Microsoft Office, Word, and Excel proficiency
