Job Description

This position will work a hybrid schedule which includes a combination of working both onsite at La Jolla and remote.

DESCRIPTION

The UCSD Department of Obstetrics, Gynecology and Reproductive Sciences is composed of 67 faculty, clinical fellows, Assistant Project Scientists, and Postdoctoral Scholars. The department is composed of 7 divisions: Obstetrics and Gynecology, Maternal-Fetal Medicine, Gynecologic Oncology, Reproductive Endocrinology and Infertility, Hospitalist, Family Planning and Urogynecologic and Reconstructive Surgery. The department is currently ranked 3rd in the nation in NIH funding among ObGyn departments.

Incumbent will support the Director of Finance in monitoring both the clinical programs and miscellaneous department commitments in the Department of Obstetrics, Gynecology, and Reproductive Sciences. Incumbent will perform financial or resource analysis to understand past performance and determine present and future performance and / or resource allocations. Regularly review and analyze data, identify problematic areas and irregular expenditures; research causes and make recommendations on possible corrective courses of action. Applies financial concepts to process, review, and approve financial transactions. Responsible for regular and ad hoc reporting on operating performance of departmental and income funds. Approves financial transactions, verifying chart string and funding. Making recommendations as needed.

Prepares basic financial and resource reports and / or analysis for internal department constituents. Examples include monthly financial reports, staff / faculty salary budgets gifts, endowments, service agreements, consulting agreements, and various other operating reports. Financial and / or resource analysis could include budgetary analysis, financial analysis, forecasts, projections, staff or faculty salary or FTE analysis, recharge or general rate analysis, endowment income, billing and invoicing etc. Provides oversight and recommendations with monthly financial summary reporting to faculty for clinical, academic, and other discretionary funding. Ensure proper communication and integration in instances where department funds are affected. Process funding changes and corresponding payroll transfers. Assist Director of Finance with annual department budget process.

Additional tasks may include but are not limited to: (1) Invoicing and billing reconciliation for clinical service and consulting agreements (2) Quarterly reconciliation of clinical trial incentive payment logs (3) Monthly faculty compensation reporting (4) Data Entry/Budget (EPBCS, Non-Payroll Expense, COA Management/Database) (5) Process JT/DR/ CT/Fund Changes; (6) Manages Chair Commitments; (7) Prepare and enter faculty z payments in Online Z ; (8) Train staff; 9) Reconcile accounts/confirm transfers/funds have been received; (10) Manage department default project and coordinate with research administrators to transfer expenses; (11) GME benefit reconciliation; and (12) other tasks as assigned.

Uses professional concepts. Applies organizational policies and procedures to resolve various issues. Works on problems of limited to moderate scope where analysis of situations or data requires a review of multiple factors. Exercises judgment within defined procedures and practices to determine appropriate action. Contacts are primarily internal to the department, but may also be external.

MINIMUM QUALIFICATIONS
  • Six years of related experience, education/training, OR a Bachelor's degree in related area plus two years of related experience/training.

  • Working knowledge of finance policies, practices, and systems.

  • Ability to gather reasonably retrievable information to organize, and perform basic financial analysis assignments.

  • Demonstrated ability to effectively present information verbally and in writing clearly and concisely.

  • Demonstrated ability using spreadsheet and database software for moderately complex financial analysis, fiscal management, and financial reports.

  • Demonstrated interpersonal skills at all levels within the unit; excellent service orientation and critical thinking skills; and attention to detail. Demonstrated ability using organizational skills to multi-task in a high volume environment.

  • Ability to adapt to changing priorities.

  • Ability to function as a member of a team.

  • Intermediate knowledge and understanding of internal control practices and their impact on protecting University resources.

  • Be able to complete deadline-driven tasks in a fast-paced work environment.

  • Independently analyze and prioritize tasks.

  • Knowledge of Concur, Oracle, UCPath, and strong Excel skills.Environment.

Pay Transparency Act

Annual Full Pay Range: $63,800 - $111,600 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.56 - $53.45

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
