Job Description
FINANCIAL ASSISTANT, Program in Science, Technology, and Society, will provide financial support for Knight Science Journalism (KSJ) and the Undark magazine activities and be responsible for professional communication with MIT accountants, KSJ and Undark contractors, and other contacts critical to smooth running of both the magazine and the fellowship program; work under the supervision of the Program Administrator of KSJ and with regular communication and coordination with the Undark editors; handle independent contractor registration, requisition and purchase order creation, handling both the magazine and KSJ’s procurement card inboxes and assuring that payments are processed in a timely manner; process journal vouchers, overseeing staff travel expense reports, and handling reimbursement and honoraria for participants in KSJ’s training programs; prepare and approve documentation for independent contractors for Undark via Coupa system; Request and upload all supporting documentation, coordinate W-9s, and work with the independent contractors, from the U.S. and internationally, to fill out required forms.
Job Requirements:REQUIRED: High School diploma or equivalent and a minimum of three years of experience in finance or accounting; ability to prioritize tasks and meet deadlines; excellent analytical, communication, organizational and interpersonal skills; strong attention to detail; proficiency with Microsoft Office suite and cloud-based databases; willingness to learn new software as needed; the ability to set priorities, work effectively under the pressure of deadlines and deal with frequent interruptions; and ability to work both independently and as part of a team. PREFERRED: associates or bachelor’s degree or five to seven years total in a related field; and experience with MIT financial systems —B2P, Concur, Coupa, SAP. Job #24530-5
