The Office of the Registrar is committed to assisting prospective, current, and alumni students of Santa Fe College with their record needs. The office is available to facilitate transcript requests, college transcript evaluations, student academic records, course registration and grades, petitions and appeals, residency reclassifications, and graduation applications.

The Records Assistant, Transcript Evaluator is responsible for maintaining a working knowledge of academic policies, curriculum, common course numbering, academic and admission requirements, and statewide articulation agreements among the Florida College System and the State University System. As a transcript evaluator, this position will process and evaluate incoming transcripts and external credits and determine SF equivalencies. Additionally, this position may supervise the work of others and has accountability in areas of assigned responsibility.

Job Description

Responsibilities and duties include:

  • Assists college employees and the public by responding to concerns/inquiries to resolve issues based on established college policies and makes appropriate referrals as necessary.

  • Performs front desk tasks as appropriate, assisting staff, faculty, students, and/or the public in-person or via phone with issues and/or departmental requests.

  • May assist students with application, enrollment, testing and registration processes or other specific student support services, which may include specific aid and eligibility guidance.

  • Processes and evaluates incoming college transcripts and external credits.

  • References course information to determine the equivalency to Santa Fe’s degree requirements.

  • Advises students on degree requirements based on their individual evaluations.

  • Assists with resolving credit transfer issues, as necessary.

  • Prepares special reports, summaries, or replies to inquiries by compiling data and statistics from various departmental resources.

  • Communicates, collaborates, and maintains relationships with internal and external constituents, especially SF department Chairs and Directors.

  • May supervise and train other support staff including student employees and volunteers.

  • May assist in the scheduling of building and equipment maintenance, such as copiers, printers, scanners, etc.

  • May organize and facilitate meetings and special events, schedule and coordinate dates and times, venues, attendance, agendas, and facility arrangements. 

  • May manage and update the program website and publications with the most current, accurate and timely information.

  • Strictly honors the privacy, security, and confidentiality of student records and other sensitive information according to appropriate state, federal, and college regulations, policies, and procedures.

  • Complies with all published College Rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.

  • Provides service excellence through courteous, informed, accessible, and professional engagement.

  • Performs other duties as assigned.

Reports to: Transfer and Transcript Evaluation Supervisor

QUALIFICATIONS

Required: An associate degree with two (2) years of related work experience and/or a combination of education and experience equal to four (4) years.

Additional Requirements:  A criminal background check will be conducted.

Preferred: A bachelor’s degree in a related field with at least two (2) years of post-secondary student service experience.

  • Systems & Software - proficient level of knowledge of Microsoft Office and/or relevant position software programs.

  • Ethics – able to demonstrate integrity, professionalism, civility, and a high degree of ethics in all job-related actions.
