Position Summary Information

 

Objective
To provide administrative services for the Directors of library operations at multiple campuses. Reports to the Director of the Brenham campus library and the Director of the Bryan campus library. Positions home campus will be on the Brenham Campus.
Required Quals Summary
High school diploma. Minimum two years’ experience with accounting.

Principal Accountabilities

 

Principal Accountabilities
  1. Performs administrative services and managerial tasks for the Director of the Brenham Library and the Director of the Bryan Library.
  2. Consults with and assists the Brenham and Bryan Library Directors in the management of library budgets, subscription renewals, and maintenance and vendor contracts for Blinn College District Libraries.
  3. Assists Brenham and Bryan Library Directors in gathering institutional data for state reports.
  4. Manages and initiates, in collaboration with the Brenham and Bryan Library Directors, the purchases of books, videos, supplies, equipment, and services for all Blinn College District Libraries using library and vendor acquisition software and tools. Serves as liaison with vendors, gathers quotes, evaluates options, produces requisitions and places all orders in collaboration with the Brenham and Bryan Library Directors.
  5. Generates invoices for payment in collaboration with the Brenham and Bryan Library Directors; serves as a liaison with vendors regarding billing and invoicing; serves as a liaison with institutional departments such as purchasing and accounting offices to resolve problems.
  6. Reconciles Blinn College District Libraries’ budget reports in Banner. Maintains budget files, including spreadsheets for lost and paid items, orders not received, and items requested for purchase for Blinn College District Libraries.
  7. Oversees the supply needs for all Blinn College District libraries. Maintains inventory for office and specialized supplies for each library. Evaluates products, prices and then submits purchase orders and requisitions in collaboration with the Brenham and Bryan Library Directors for their respective campuses. Orders new equipment as requested by Brenham and Bryan Library Directors and submits requests for maintenance for Brenham Library.
  8. Maintains, in collaboration with the Brenham and Bryan Library Directors, personnel records for library employees, produces timesheets, absence reports.
  9. Manages cash receipts, deposits, cash drawers, copy machines, vending machines, fines, fees, and donation income. Creates and submits required reports to Business Services regarding monies collected by the library.
  10. Fills in for Brenham LTAs as needed, working circulation desk, opening and closing Brenham library, etc.
  11. Participates in physical inventory of all library books, periodicals, videos, video games, and other physical resources at the Brenham campus.
  12. Other duties as assigned.
Minimum Qualifications

 

Minimum Qualifications
    1. High school diploma.
    2. At least 2 years of experience in a business office setting. 
    3. Proficiency in Microsoft Office Products.
