The primary purpose of the Executive Assistant position is to act as an assistant to a Department Chairman of a clinical area, Associate V.P., Division Head or higher level executive. Coordinates administrative activities and impacts department efficiency. Acts independently, analyzes problems and makes decisions affecting the department and/or division.
JOB SPECIFIC COMPETENCIES
Administrative Functions Attends meetings in the executive's absence and provides information on behalf of the department chair. Composes own correspondence; may compose confidential correspondence for department chair. Develops procedures and policies. Prepare office forms such as those for travel requests, travel reimbursements, medical graphics requests, purchase orders, check requests, or other commonly used institutional forms. Make travel arrangements, lecture and conference scheduling, and maintain meeting calendar. Also, complete and submit commonly used institutional forms. KRONOS backup approver.
Procurement, Account Management/ Reconciliation Monitors, projects and balances budget activity. Tracking and reconciling faculty Physician Referral Service (PRS) expenditures and discretionary accounts on a monthly basis.
CV/ Biosketch/ Other Support/ Reference Materials Generate, revise, and update Curriculum Vitae, biosketch, and other support/reference material for department chair. Maintain revisions to professional documents, bibliographic libraries, and grant-related documentation. Add new references, download abstracts from Ovid (MEDLINE, Cancerlit, and other library databases), search and retrieve research articles or documents from sources within and outside of the institution, organize filing system for library.
AVA Administration
Handles faculty recruitment, oversees all educational appointments, oversees all VISA applications and submissions, backup Kronos approver.
Program Administration
Provides high level support to the institutional and departmental programs which fall under the Department Chair. See 'Administrative Functions' for details.
Other duties as assigned.
EDUCATION
Required: High school diploma or equivalent.
Preferred: Bachelor's degree.
EXPERIENCE
Required: Six years of administrative/secretarial experience supporting a leadership/executive level position. With preferred degree, two years of required experience.
